OVERALL SHORT DESCRIPTION
Under direct supervision, this position is responsible for assisting
the supervisor in overall coordination within the department with
substantial latitude for independent action in accomplishing tasks
in a timely manner.
ESSENTIAL FUNCTIONS
- Act in a liaison capacity between managers/directors/
management and various departments within the
organization, as well as outside agencies and organizations.
- Act as administrative support and coordinate activities for
the respective division.
- Coordinate meeting arrangements, appointments, agendas, and
telephone calls for directors, managers, and department staff.
- Assemble and prepare information for administrative
decisions relieving superiors of quasi-administrative details
and paperwork.
- Take and transcribe minutes at various meetings; receive and
transcribe confidential dictation; and prepare and supervise
preparation of correspondence as required.
- Maintain regular communication with outside agencies and
organizations to obtain or relay information and research
problems.
- Organize, assemble, and assist with preparing responses to
RFPs, as well as other deliverables.
- Assist with front desk coverage, as required.
ACCOUNTABILITY
Accountable for the timeliness, completeness, accuracy, and
quality of all assigned functions and tasks.
PHYSICAL AND MENTAL DEMANDS/COMPETENCIES
- Ability to prioritize daily tasks and work independently in
the absence of specific instructions.
- Ability to type 40 wpm with minimal errors.
- Ability to record and transcribe minutes at various
meetings.
- Ability to effectively communicate (orally and in writing)
with employees, physicians, and other health care professionals.
- Ability to remain calm under the stress of meeting
deadlines.
- Ability to adhere to established company confidentiality
policies.
QUALIFICATIONS
- Minimum of three (3) years secretarial experience.
- Minimum of three (3) years word processing experience.
- Experience in office management, preferably in the
health care field.
- Working or thorough knowledge of intermediate word
processing applications.
- Typing speed of 40 wpm.
- Excellent spelling, grammar, composition, proofreading,
interpersonal, and communication skills.
